Privacy Policy

Your wedding is one of the most personal things you will ever ask someone to document. This policy sets out exactly what information we collect, why we need it, and the control you keep over it.

  1. 01Who we are

    Lens9 Studio is a wedding photography and filmmaking studio based in New Delhi, India, operating the website lens9studio.com. In this policy, "we", "us" and "our" refer to Lens9 Studio; "you" refers to anyone who visits our website, submits an enquiry, subscribes to our newsletter, or engages us for photography or film services.

    This policy explains what personal data we collect, why we collect it, who we share it with, how long we keep it, and the rights you have over it. Please read it alongside our Cookie Policy and Terms & Conditions.

  2. 02Information you give us

    Most of the personal data we hold is information you provide directly. When you submit the enquiry form on our contact page, we collect:

    • Your name
    • Your email address
    • Your mobile number
    • Your estimated guest count
    • The location of your wedding or shoot
    • Your event date or dates
    • The service you are interested in — photography, videography, or both
    • Any message or additional details you choose to write to us

    If you subscribe to our newsletter, we collect only your email address. If you contact us by phone, email, WhatsApp or social media, we keep a record of that correspondence so we can respond to you and maintain continuity across conversations.

    If you go on to book us, we will additionally collect the information needed to perform the contract — such as billing details, venue and vendor contacts, event schedules, and any specific requirements you share with us. We only ask for what we genuinely need to photograph your event well.

  3. 03Information collected automatically

    When you browse our website, certain information is collected automatically by our servers and by the analytics and advertising tools described below. This typically includes your IP address, browser type and version, device type, operating system, referring website, the pages you view, and the dates and times of your visit.

    This data is collected through cookies and similar technologies. It helps us understand how our website is used, diagnose technical problems, protect against abuse, and measure the effectiveness of our advertising. Our Cookie Policy explains these technologies in detail and how you can control them.

  4. 04Photographs and films of you

    Because of the nature of our work, we also process images and footage of you, your family and your guests. If you engage us for a wedding or shoot, we photograph and film the event and store those images and that footage on our systems as part of delivering your commission.

    Copyright in the photographs and films we create remains with us, as set out in our Terms & Conditions. Separately from copyright, we recognise that images of identifiable people are personal data, and we handle them accordingly.

    We may use a selection of images and film from your event in our portfolio, on this website, in our social media, in printed samples, and in advertising — including paid advertising on Google and Meta platforms. If you would prefer that we do not, tell us in writing and we will record that restriction against your booking. You can ask us to stop using your images publicly at any time, and we will honour that for future use and remove them from channels we control, though we cannot always retrieve copies that others have already shared or saved.

  5. 05How we use your information

    We use personal data for the following purposes, and only where we have a lawful basis to do so — your consent, the performance of a contract with you, compliance with a legal obligation, or our legitimate interest in running and promoting our studio:

    • To respond to your enquiry, check our availability for your dates, and prepare a quotation
    • To communicate with you before, during and after your event, including by phone, email and WhatsApp
    • To perform our contract with you — planning, shooting, editing and delivering your photographs and films
    • To issue invoices, take payments, and keep accounting and tax records
    • To send you our newsletter and occasional studio updates, where you have subscribed
    • To operate, secure, maintain and improve our website
    • To measure and improve our marketing, including understanding which advertisements lead to enquiries
    • To show you relevant advertising on Google and Meta platforms, including remarketing to people who have previously visited our website
    • To display our work in our portfolio and marketing, subject to the restrictions described above
    • To resolve disputes, enforce our terms, and comply with law or a lawful request from an authority

    We do not sell your personal data, and we do not use automated decision-making that produces legal or similarly significant effects about you.

  6. 06Advertising, analytics and remarketing

    We advertise our studio on Google and on Meta platforms including Facebook and Instagram, and we use analytics tools to understand how our website performs. To do this, we use services that place cookies or similar identifiers in your browser, including Google Analytics, Google Ads and the Meta Pixel.

    These tools tell us things like how many people visited a page, which advertisement or search brought them here, and whether a visit resulted in an enquiry. They also allow remarketing — meaning you may see our advertisements on other websites, on Google, or on Facebook and Instagram after visiting lens9studio.com. We do not share your name, email or phone number with these platforms for advertising purposes.

    Google and Meta act as independent controllers of the data they collect through these tools, and their own privacy policies apply in addition to ours. You can control this advertising directly:

    • Google Ads personalisation can be turned off at myadcenter.google.com
    • Google Analytics collection can be blocked with the browser add-on at tools.google.com/dlpage/gaoptout
    • Meta ad preferences can be managed in your Facebook or Instagram account settings under Ads

  7. 07Who we share your information with

    We do not sell, rent or trade your personal data. We share it only in the following circumstances:

    • Service providers who help us operate — website and database hosting, email delivery, cloud storage and backup, and gallery or file-transfer services
    • Our photography and film team, including second shooters, editors, colourists and album designers working on your commission, all of whom are bound to confidentiality
    • Advertising and analytics platforms, as described in the section above
    • Payment providers and our accountants, for invoicing, reconciliation and statutory filings
    • Professional advisers such as lawyers and insurers, where genuinely necessary
    • Government authorities, courts or regulators where we are required to disclose by law, or to establish, exercise or defend legal claims
    • A successor entity, if we ever restructure, merge or transfer the business — in which case this policy continues to apply to your data

    We ask everyone who processes personal data on our behalf to use it only for the purpose we have specified and to keep it secure.

  8. 08Where your data is stored

    Enquiries and newsletter subscriptions submitted through our website are stored in our own content management system and database. Your photographs and films are stored on our working systems and backup drives.

    Some of the service providers we rely on — including hosting, cloud storage, email and the advertising platforms named above — may process or store data on servers located outside India. Where that happens, we take reasonable steps to satisfy ourselves that the provider applies appropriate safeguards and security standards to the data entrusted to them.

  9. 09How long we keep it

    We keep personal data only as long as we have a genuine reason to:

    • Enquiries that do not lead to a booking — retained for up to three years, so we can recognise you if you return to us
    • Client records and correspondence — retained for the duration of the engagement and for up to eight years afterwards, in line with contractual and tax record-keeping requirements
    • Financial and invoicing records — retained for the period required by Indian tax law
    • Newsletter subscriptions — retained until you unsubscribe, after which we keep a minimal suppression record so we do not email you again by mistake
    • Photographs and films — archived indefinitely as part of our creative archive, unless you ask us in writing to delete them and we are not required to keep them
    • Website analytics and advertising data — retained for the periods set by Google and Meta in their own products, typically between two and twenty-six months

    When data is no longer needed, we delete it or put it beyond use.

  10. 10How we protect your information

    We take reasonable technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure and alteration. These include serving our website over encrypted connections, restricting administrative access to our systems to authorised team members, using access-controlled accounts, and keeping backups of client work.

    No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach that affects your personal data, we will act promptly to contain it and will notify you and the relevant authority where the law requires us to.

  11. 11Your rights

    Under the Digital Personal Data Protection Act, 2023 and other applicable Indian law, you have the right to:

    • Ask for confirmation of whether we hold personal data about you, and request a summary of it
    • Ask us to correct or complete personal data that is inaccurate or out of date
    • Ask us to erase personal data where we no longer need it for the purpose we collected it
    • Withdraw consent where our processing relies on consent — for example, by unsubscribing from our newsletter
    • Nominate another person to exercise these rights on your behalf in the event of your death or incapacity
    • Raise a grievance with us, and escalate it to the Data Protection Board of India if you are not satisfied with our response

    If you are located in the United Kingdom or the European Economic Area, you may additionally have rights to object to processing, to restrict processing, and to data portability, and to complain to your local supervisory authority.

    To exercise any of these rights, email us at lens9studio@gmail.com with enough detail for us to identify you and understand your request. We will respond within a reasonable period and in any case within the time the law allows. There is no charge for making a request, though we may decline requests that are manifestly excessive or repetitive.

  12. 12Marketing communications

    We will only send you marketing emails if you have subscribed to our newsletter or enquired about our services. Every marketing email includes a way to unsubscribe, and you can also email us at any time asking to be removed.

    Opting out of marketing does not stop service messages relating to a booking you have with us — for example, confirmations, schedules, invoices and delivery notifications — as we need to send those to perform our contract with you.

  13. 13Children

    Our website and services are directed at adults. We do not knowingly collect personal data from children under the age of 18 through this website, and we do not use children's data for advertising, tracking or behavioural monitoring.

    Children naturally appear in wedding photographs. Where we photograph a child at an event, we do so with the knowledge of the hosts, and we rely on the parent or guardian's consent where such images are used publicly. If you are a parent or guardian and want an image of your child removed from our public channels, contact us and we will act on it.

  14. 14Third-party links

    Our website links to third-party services including Instagram, Facebook, YouTube and WhatsApp. If you follow a link to any of these, or start a WhatsApp conversation with us, that provider's own privacy policy governs the data they collect from you. We do not control those services and are not responsible for their practices.

  15. 15Changes to this policy

    We may update this policy from time to time to reflect changes in our practices, our tools, or the law. The current version is always published on this page with the date it was last updated shown at the top. Where a change materially affects your rights, we will take reasonable steps to bring it to your attention.
