Terms & Conditions

The agreement between you and Lens9 Studio — how bookings work, what each side is responsible for, who owns the images, and what happens when plans change.

  1. 01About these terms

    These Terms & Conditions govern your use of lens9studio.com and, together with your booking confirmation and any written quotation we issue, the photography and filmmaking services we provide. By browsing this website, submitting an enquiry, or engaging us, you accept these terms.

    If we have issued you a separate signed contract for a specific commission, that contract takes precedence wherever it conflicts with these terms. Everything not addressed there is governed by this page.

    If you do not accept these terms, please do not use this website or engage our services.

  2. 02Who you are contracting with

    Lens9 Studio is a wedding photography and filmmaking studio operating from Shop no. 4, 3372-A, Mahindra Park, Rani Bagh, Delhi 110034, India. You can contact us at lens9studio@gmail.com or +91 99113 37663.

    In these terms, "we", "us", "our" and "the Studio" mean Lens9 Studio. "You", "your" and "the Client" mean the person or persons who engage us, or who use this website.

  3. 03Use of this website

    You may view, browse and print pages from this website for your own personal, non-commercial use in considering our services. You may not:

    • Copy, reproduce, republish or redistribute any photograph, film, or written content from this website without our prior written permission
    • Use any of our images or footage for training machine-learning or generative AI systems
    • Scrape, harvest or systematically extract content or data from the site
    • Attempt to gain unauthorised access to the site, its server, or any connected database
    • Introduce malicious code, or use the site in any way that damages, disables or impairs it
    • Use the site or our contact forms to send unsolicited commercial messages

    We may suspend or restrict access to the website at any time without notice, and we do not warrant that it will always be available or free from errors.

  4. 04Enquiries and quotations

    Submitting an enquiry through this website does not create a booking and does not reserve your date. It is an invitation for us to send you a quotation.

    Prices shown or discussed anywhere on this website, on social media, or in conversation are indicative. A binding price exists only in a written quotation we issue to you, and that quotation is valid for the period stated on it. Because every wedding differs in the number of events, days of coverage, locations and deliverables, we build each quotation individually.

    We reserve the right to decline any enquiry or booking at our discretion.

  5. 05Bookings and retainer

    Your date is confirmed only when we have received your signed acceptance of our quotation and the booking retainer has cleared into our account. Until both have happened, we may accept another commission for the same date.

    The booking retainer is 30% of the agreed package fee unless your quotation states otherwise. The retainer secures your date, compensates us for turning away other work for that date, and is applied against your total fee. It is non-refundable — see our Cancellation & Refund Policy.

    We take on a limited number of weddings each season in order to protect the quality of our work, so dates are allocated strictly in the order that confirmed bookings are received.

  6. 06Fees, taxes and payment

    The balance of your fee is payable according to the schedule set out in your quotation or contract. Unless we have agreed otherwise in writing, the full balance is due before your final photographs and films are delivered.

    All fees are exclusive of applicable taxes, which will be added at the prevailing rate and shown on your invoice.

    For destination and outstation work, travel and accommodation for the team are billed at cost in addition to the package fee, and are payable in advance so that we can make the bookings. Where an event runs materially beyond the hours of coverage agreed, overtime is charged at the rate stated in your quotation.

    We may suspend work or withhold delivery of finished material while any invoice remains overdue.

  7. 07How we work

    You are engaging us for our particular style — candid, editorial and cinematic. Composition, framing, lighting, the selection of images and footage that make the final edit, and the colour treatment applied to them are all exercised at our creative discretion.

    We will make every reasonable effort to capture any specific moments, groups or details you tell us matter to you, and we encourage you to share a shortlist in advance. However, weddings are live events and we cannot guarantee any particular photograph, since moments depend on timing, access, light, weather, the behaviour of guests and the running of the day.

    We may substitute a member of the team where illness, emergency or a scheduling conflict makes it necessary. Any substitute will be a professional of comparable experience, and the work will be delivered in our house style.

  8. 08What we need from you

    So that we can do our job properly, you agree to:

    • Give us accurate event details, schedules, venue addresses and a named point of contact, and tell us promptly if anything changes
    • Obtain permission from your venue, place of worship or officiant for professional photography and filming, including any use of lighting, drones or additional equipment, and tell us in advance about any restrictions
    • Make your guests aware that the event is being photographed and filmed
    • Allow us reasonable access to the spaces and moments we need to cover, and adequate time for group and couple portraits within your schedule
    • Provide a safe working environment for our team, and reasonable refreshment during extended days of coverage
    • Ensure that other vendors and guests do not obstruct our coverage of key moments
    • Settle invoices on the agreed schedule

    We are not liable for material we are unable to capture because of restrictions imposed by a venue or officiant, obstruction by guests or other vendors, or schedule changes made on the day.

  9. 09Delivery

    Delivery timelines for your sneak-peek gallery, your full edited gallery, and your cinematic film are set out in your quotation or contract, and we work hard to meet them. Timelines run from the date of your final event and may be extended during peak season or where an event is materially larger than briefed.

    Galleries and films are delivered digitally through an online gallery or file transfer. Download links remain active for the period stated at the time of delivery, and it is your responsibility to download and back up your files within that window. We will normally hold an archive copy of your work, but we do not guarantee indefinite storage and we strongly recommend you keep your own backups in at least two places.

    Physical deliverables such as albums and prints are produced after you approve the design. Production and shipping timelines for those are quoted separately at the time of order.

    Requests for revisions to an album layout or a film edit are accommodated within the number of rounds stated in your quotation. Additional rounds, or changes requested after you have approved a design for production, are chargeable.

  10. 10Copyright and how you may use your images

    Copyright in every photograph and film we create belongs to and remains with the Studio at all times, under the Copyright Act, 1957. Paying for a commission buys you a licence to use the work, not ownership of the copyright in it.

    On full payment of your fee, we grant you a perpetual, worldwide, non-exclusive, royalty-free licence to use your delivered photographs and films for personal, non-commercial purposes. That includes printing them, sharing them with family and friends, and posting them on your personal social media accounts.

    You may not, without our prior written permission:

    • Use the images or films for any commercial purpose, or licence, sell or sub-licence them to a third party
    • Enter them into competitions or submit them for publication or to blogs, unless we have agreed the credit and terms in advance
    • Apply filters, crops, re-edits, re-colouring or AI enhancement to delivered images and then publish them
    • Remove or alter any watermark, credit or metadata we have applied
    • Supply them to another vendor, venue or supplier for that party's own marketing

    Where you share our work publicly, we ask that you credit Lens9 Studio. Vendors and venues who wish to use images from your event should contact us directly, and we will licence them separately.

  11. 11Portfolio and marketing use

    As the copyright owner, we reserve the right to use photographs and film from your event to promote the Studio — on this website, in our portfolio and printed samples, on our social media, in competition and publication submissions, and in paid advertising on platforms including Google, Facebook and Instagram.

    We understand this is not right for everyone. If you would prefer that your images are not used publicly, tell us in writing before your event and we will record that restriction against your booking at no additional cost. You may also ask us later to withdraw specific images from public use, and we will remove them from channels we control, although we cannot recall copies already published, shared or saved by others.

  12. 12Cancellation, postponement and refunds

    Cancellations, date changes and refunds are governed by our Cancellation & Refund Policy, which forms part of these terms. Please read it before you book.

  13. 13Circumstances beyond our control

    We are not liable for failure or delay in performing our obligations where it is caused by events outside our reasonable control. These include serious illness or injury, accident, death in the team, extreme weather, natural disaster, fire, epidemic or pandemic, government restriction or public order, civil unrest, war, strike, transport failure or flight cancellation, or the failure of essential public infrastructure.

    If such an event prevents us from attending, we will use reasonable efforts to arrange a professional replacement of comparable standard, or to reschedule where you are able to. If neither is possible, our liability is limited to a refund of amounts you have paid for services not delivered, less the non-refundable retainer and any costs we have already irrecoverably committed on your behalf.

  14. 14Loss of material and limits on our liability

    We use professional equipment, shoot to dual memory cards where the equipment allows, and back up material promptly after every event. Even so, in the rare event that photographs or footage are lost, damaged or corrupted through equipment failure, theft, media fault or any other cause not attributable to our wilful misconduct, our total liability is limited to a refund of the fees you have paid for the affected portion of the work.

    To the fullest extent permitted by law, we are not liable for indirect, incidental, special or consequential loss, or for loss of profit, opportunity, goodwill or sentimental value, however arising. Our aggregate liability in connection with any commission will not exceed the total fees actually paid by you for that commission.

    Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence, or for fraud.

  15. 15Conduct and the right to withdraw

    We expect our team to be treated with courtesy and respect. We reserve the right to withdraw from an event, without refund, where any member of our team is subjected to abusive, threatening, discriminatory or unsafe behaviour, or where conditions at a venue present a genuine risk to their safety or equipment.

  16. 16Privacy and cookies

    Our Privacy Policy explains how we handle personal data, and our Cookie Policy explains the cookies and similar technologies used on this website. Both form part of these terms.

  17. 17Third-party links and content

    This website links to third-party platforms including Instagram, Facebook, YouTube and WhatsApp. We do not control those services, do not endorse their content, and are not responsible for their availability, their content or their handling of your data.

    Testimonials and reviews shown on this website reflect the individual experience of the client who gave them. They are genuine but are not a guarantee of any particular outcome for your event.

  18. 18Changes to these terms

    We may amend these terms from time to time. The version published on this page at the time you submit an enquiry or confirm a booking is the version that applies to you. Changes do not retrospectively affect a commission already confirmed.

  19. 19Governing law and jurisdiction

    These terms, and any dispute or claim arising out of or in connection with them or with our services, are governed by the laws of India.

    The parties will first attempt in good faith to resolve any dispute through discussion. Failing that, the courts at Delhi, India shall have exclusive jurisdiction.
